Operations Executive
DEPARTMENT/TEAM: Supply & Trading
LOCATION: Antwerp
SUMMARY
We are seeking an experienced individual to be responsible for Operations related duties for Peninsula’s Antwerp office, including the continuous monitoring of barge logistics, terminals, cargo sales and purchases.
Close coordination with various suppliers, customers, terminals, and inspection companies to support the whole chain of supply and full responsibility for all post-trade activities.
You need to be well organised, proactive, and possess excellent communication skills throughout the complete operations process.
MAIN RESPONSIBILITIES
- Organise a supply schedule for the relevant regions with the goal to supply as much product as safely as possible in the minimum amount of time endeavouring to mitigate bunker delays.
- Organisation and monitoring of daily terminal/loading operations.
- Supporting local and worldwide traders within the company.
- Closely coordinating with all other departments; fleet management & shipping ops for daily operations, Finance teams, system teams.
- Closely coordinating with counterparties including shipping agents, cargo suppliers/customers, surveyors, and Cargo traders for following the operations properly.
- Endeavour to provide notice of potential issues to trading teams as well as proactively look for solutions.
- In order to minimise barge idle time, you need to inform and liaise closely with traders to proactively manage the best time to fix prompt volume.
- Ensure local customs procedures are fulfilled.
- Staying current with all relevant industry news.
- Adhere to all procedures/processes & policies regarding usage of Company information systems, including CRM, trips, trading platform, expenses and leads.
- Proactively work on a good relationship both external and internal.
KNOWLEDGE, SKILLS AND EXPERIENCE:
- Business level of English language essential; knowledge of Spanish is a plus
- Knowledge of INCOTERMS and Cargo Contract basis on agreement are a plus
- High level of computer literacy including proficiency of MS Office package and able to work with CRM systems
- Confident individual with excellent verbal and written communication skills. Persuasive and influential by nature, a highly effective negotiator able to ‘think on your feet’
- Problem solving and being dynamic to an intricate supply schedule, where uncontrollable variables impact barges availability
- Attention to detail and able to listen and respond effectively to supplier/customer queries
- Able to work collaboratively as part of a team and towards shared goals but equally able to work independently with a minimal level of supervision
- Ambitious, self-motivated, and demonstrating a willingness to continually develop own knowledge and skills
